Key takeaways
- For most small businesses the decision is made by the software you already pay for, not by which model scored higher this month.
- ChatGPT Business and Claude Team now cost the same for a standard seat: 20 US dollars per user per month on annual billing.
- The real differences sit in the admin tier: who gets SCIM, audit logs, custom retention and spend controls, and at what seat count.
- Copilot and Gemini win on integration with your existing email and documents. ChatGPT and Claude win on the quality of the standalone assistant.
Every month someone publishes a benchmark showing one model edging ahead of another. For a business choosing an assistant for 30 people, those benchmarks are close to irrelevant. What matters is what each seat costs, what your admin can control, whether you can cap the spend, and how well the assistant reaches the documents and email your team already lives in. This page compares the four mainstream options on exactly those things.
Last checked: October 2026. Prices and tier contents in this category change every few months. We update this page when they do, and the change log at the bottom records what moved. Always confirm against the provider's own pricing page before you buy.

The rule that decides most cases
Start from your productivity suite, because it is the thing you will not change.
- You run on Microsoft 365. Your staff already have Copilot Chat. Turn it on properly, set the policies, and watch who uses it. Buy paid Copilot seats only for the people who need it reaching into their mailbox, calendar and SharePoint. If a team needs a stronger standalone assistant for heavy writing or analysis, add ChatGPT Business or Claude Team for that team alone.
- You run on Google Workspace Business Standard or above. Gemini is already in your bill. The question is not whether to buy it but whether it is configured and whether anyone has been shown how to use it. Many businesses we see are paying for Gemini and have never turned on a single policy.
- You run on neither, or the suite assistant is not good enough for your core work. Choose between ChatGPT Business and Claude Team. At 20 US dollars a seat on annual billing, price no longer separates them. The work does.
ChatGPT Business: the default for a reason
ChatGPT is the assistant most of your staff have already used at home, which lowers the training load more than anything else on this list. OpenAI renamed its Team plan to Business in August 2025 and cut the standard seat by 5 US dollars in April 2026, so it now matches Claude on price.
It is strongest as a general workhorse: drafting, summarising, research, data analysis on uploaded spreadsheets, and a wide catalogue of connectors into tools like Google Drive, SharePoint and Slack. Business includes the admin console, SAML single sign-on, and a default commitment not to train on your data. Heavier governance features, such as automated provisioning and custom retention, sit on Enterprise, where pricing is negotiated rather than published.
Choose it when you want the lowest training effort, the broadest set of integrations, and a tool most people can pick up on day one.
Claude Team: the best admin story at small scale
Claude tends to win with teams that write long, careful documents or work through large files: legal, consulting, finance, policy and software. The Team plan runs from 2 to 150 seats, and two features stand out for a small business. First, you can mix standard and premium seats, so the three people who live in it all day get five times the usage without everyone paying for it. Second, Team includes user and organisation spend controls and admin control over which connectors are allowed, which is unusual at this price point.
Role-based access, SCIM, audit logs and custom retention sit on Enterprise, which starts at 20 seats and bills a seat fee plus usage at API rates. That usage-based structure is worth understanding before you move up, because it changes the cost conversation from a fixed number to a capped one.
Choose it when your core work is long-form writing, document review or code, or when you want granular spend and connector control without an enterprise contract.
Microsoft 365 Copilot: strongest when it can see your files
Copilot comes in two layers. Copilot Chat is included for Microsoft 365 business users and gives a capable, web-grounded assistant inside the apps they already use. The paid Copilot add-on is what lets it reason over a person's own mailbox, calendar, Teams chats and SharePoint files. For organisations of up to 300 users that add-on is sold as Copilot Business, listed at 21 US dollars per user per month on annual terms, with promotional pricing during 2026 that varies by purchase channel.
The integration is the whole point, and it is also the risk. Copilot surfaces whatever a user already has permission to see. If your SharePoint permissions are loose, which in most small businesses they are, Copilot will cheerfully summarise the salary spreadsheet someone shared with "everyone" in 2021. Fix permissions before you buy seats, not after. Agents built in Copilot Studio are metered separately from seats, which is where Microsoft costs become variable.
Choose it when you are a Microsoft business, your files are in SharePoint and OneDrive, and you are prepared to tidy permissions first.
Gemini for Google Workspace: already paid for
Google folded Gemini into Workspace plans in 2025 and retired the separate Gemini add-ons. On Business Standard and above, staff get Gemini in Gmail, Docs, Sheets, Meet and Drive, plus the standalone Gemini app and NotebookLM. Business Starter gets a limited version, mainly in Gmail.
The practical consequence is that the cost decision is already made. The work left is configuration: which features are on for which organisational units, what the data handling settings say, and whether anyone has been taught to use it for more than rewriting emails.
Choose it when you are a Google Workspace business. Add a standalone assistant only if a specific team hits a ceiling.
What the comparison tables on other sites get wrong
Most comparisons treat this as a model contest. For a business, three things matter more than the model.
Governance is the product
At the business tier you are not buying a better model than the consumer version. You are buying central billing, an admin console, data commitments, single sign-on and the ability to turn people off when they leave. A cheaper plan without those is a governance problem at a discount. We cover this in more detail in choosing the right AI plan tier.
Spend control is moving to the centre
Seat prices are predictable. Agents, automations and premium usage are not. Over the next year, more of your AI cost will be usage-based, and the providers that let you cap it at the organisation and user level will matter more than the ones with the best launch video. See AI agent spending limits for how to set this up.
Connectors are a security decision
Every provider now lets the assistant reach into email, files and other systems. Each connector you allow widens what the assistant can read and, increasingly, what it can do. Decide which ones are on at setup, rather than letting each user switch on whatever they like.
Our recommendation in one paragraph
Use what your suite already includes, configure it properly, and measure use for 30 days. Then buy a standalone assistant for the teams that need more, defaulting to ChatGPT Business for breadth and Claude Team for heavy document work and finer spend control. Put a hard cap on anything usage-based from day one. If you want the long version of the selection process, read how to choose an AI provider for business.

Frequently asked questions
Which AI assistant is best for a small business in 2026?
There is no single winner. If your business runs on Microsoft 365, start with Copilot Chat and add paid Copilot seats selectively. If you run on Google Workspace at Business Standard or above, Gemini is already in your subscription. If you want the strongest standalone assistant with good admin and spend controls at a small-team price, ChatGPT Business and Claude Team are both around 20 US dollars per user per month on annual billing, and the choice between them comes down to the work you do most.
How much do ChatGPT Business and Claude Team cost?
As of October 2026, ChatGPT Business is 20 US dollars per user per month billed annually or 25 billed monthly, with a two seat minimum. Claude Team standard seats are the same 20 and 25, with premium seats at 100 and 125 for heavy users. Prices vary by country and currency, so check the provider's pricing page before you buy.
Do I need SSO and SCIM for a small team?
Single sign-on is worth having from about 15 users, and both ChatGPT Business and Claude Team include it. Automated user provisioning through SCIM, audit logs and custom retention generally sit on the enterprise tiers. Most businesses under 100 people can manage provisioning by hand without much pain.
Can we use more than one AI provider?
You can, but most small businesses should not start that way. Two providers means two admin consoles, two data policies to explain to staff and two bills to watch. Pick one as the default, prove it, and add a second only when a specific team has a specific job the first one does badly.
